
Creating a team and paying for member entries
Since moving to a new registration platform this year, Race Roster, the way of setting up a team and making payments on behalf of individuals in the team has changed.
We now have a gift code system in place which will simplify the way a team captain can gather entries to the team and manage payments.
How it works:
- A gift code essentially works as an entry token to the team.
- As the team captain you can purchase as many gift codes as you need for any of the three distances. You can purchase additional codes whenever you need, if you wish to add more participants to your team.
- A gift code can either be the same for a specific distance or all unique.
- Gift codes are emailed to you from Race Roster immediately after purchasing.
- You have the option to pay 100% of the entry fee or subsidise a portion of the entry fee, only paying the percentage you wish to cover.
- Once you have purchased codes, you can easily track gift code usage via Race Roster here.
- Participants complete their own registration and use the gift code to fully cover or subsidise the fee during registration process.
Important to note:
- Gift codes are non-refundable under any circumstance, so we recommend only purchasing the minimum you require and come back for more as you need them
- If you come back to buy more codes, the codes generated will be different to any previously purchased ones
- If an event sells out, the gift codes will no longer be valid and a refund will not be available
- Gift codes do not cover additional merchandise items or postage costs, only the entry fee itself
- Gift codes are not guaranteed entries and do not hold a place in the event until redeemed via registration
Team participants: How to redeem a gift code
To redeem a gift code you have received, follow the steps below:
- Visit the Race Roster registration page here.
- Select the event you are entering.
- Complete the form with your details, until you reach the check-out page.
- Once on the check-out page, enter the code you have been supplied in the promo or gift code area.
- Click submit and you’re good to go!
Team pack collection: Delivery/Pickup Options
For 2025 we have changed the way team packs are handled.
We have removed the option to select Team Bulk Pickup or Team Courier when completing a registration for teams with less than 20 participants. These options will now only be offered if you have 20 or more participants in your team with Pack Pickup selected. This does not include the team captain, unless they have registered to participate.
Teams with less than 20
For teams with less than 20 individuals, each person in the team will have to select their own way to get their pack either via:
- Pack collection (further details here) - FREE
- Individual postage (1 person’s entry posted to 1 address) - $12
- Multi-pack postage (2-10 people registered in the same transaction posted to 1 address) - $16
PLEASE NOTE: One person can collect a team’s packs for less than 20, however we ask the assigned person to bring all team members eTickets. These will be emailed out a week before the event.
Teams with 20 or more
Teams with 20 or more participants with Pack Pickup selected on their entry, will be offered the following options:
- All packs collected at Pack Collection by one person (more details here) - FREE
- All packs couriered to one nominated address (office or home) - $150
If you think you will have 20 or more participants in your team and are wanting to do one of the two bulk team options, please ensure your team members select the Pack Pickup option on their entry. Any team members that have selected an individual postage option will not be included in the bulk packs and will be sent their pack individually.
We will reach out to teams as they qualify for the bulk team options. If you reach 20 or more participants in your team with pack pickup selected, and haven’t heard from us, please email enquiry@hbfrun.com.au to see if we can offer you one of the above options for your team.
PLEASE NOTE: Bulk options close on the 1st May. Teams with a bulk option assigned must have all team members registered and joined by this date in order to be packed. Others may still join the team after the 1st May, however they will not be included in the bulk teams pack.
